The honest proof-approval checklist (before you sign off)

Signing off on a proof is the last cheap moment in a print job. Approve it and the run is committed; catch a problem here and the fix is free. This is the checklist for using that moment well.

THE SHORT ANSWER

A proof only promises what its type actually covers — so approve deliberately, and check the rest yourself. A soft proof shows layout and copy, not color. A contract proof commits color to a standard, but not the real substrate's texture. A 3D render shows structure, not press behavior. Before you sign:

  • Know your proof type — what it does and doesn't guarantee
  • Check structure first — dieline, cut/crease, bleed and safety
  • Verify color to an agreed target and tolerance, not by eye on a screen
  • Scan the barcode and proofread live copy — the cheapest catches, the costliest misses
  • Put the tolerance and a retained signed sample in writing before you approve

What a proof actually promises

A proof is a contract about a specific set of attributes — and only those. The mistake that wastes a whole run isn't usually a bad proof; it's approving a proof as if it guaranteed something it never did. A soft PDF was never a color contract. A gorgeous 3D render was never a press sheet. When you understand exactly what each proof type commits to, the sign-off stops being a leap of faith and becomes a short list of deliberate checks.

This checklist is one entry in the packaging problems diagnostic library. The difference is timing: most of that library is about diagnosing a defect after it's been manufactured, and this one is about catching it while a fix still costs nothing. Everything below assumes the file already passed a packaging preflight checklist — preflight catches the machine-checkable errors; the proof is where a human confirms intent.

Proof types: what each one covers (and what it doesn't)

There is no single thing called "a proof." There are several, each built to answer a different question. Trusting the wrong one for the wrong question is how a job that looked perfect on screen ships with a color your brand team rejects.

The practical rule: use a soft proof to approve content, a contract proof to approve color, and a 3D render to approve structure. If a job's color is brand-critical and the budget allows, a press proof or a physical sample on the actual substrate is the only thing that removes the last of the guesswork. The pre-sign-off checklist

Work through these in order every time. The early items are structural and objective; the later ones are the small, high-cost details that get skipped when you're rushing to release the file.

  1. Dieline and cut/crease are correct. Confirm the finished size, that folds and panels are where they should be, and that artwork is built to the current dieline — not a superseded one.
  2. Bleed and safety hold. Background art extends past every cut (typically ~3 mm), and nothing important sits in the safety margin where trimming or folding could catch it.
  3. Live copy is proofread. Read every word against an approved source — ingredients, claims, dosing, directions. Proofs are for checking the file you have, not for writing new copy.
  4. Color is on target within tolerance. Judge it against an agreed target and a numeric tolerance on a suitable proof, not by eye on a screen. If color matters, see packaging color management.
  5. Spot vs. process is right. Confirm brand colors specified as spot inks were kept as spots, not silently converted to a CMYK build that will drift. This is a frequent cause of color shifting between print runs.
  6. The barcode scans and has its quiet zone. Verify the number is correct, that it scans, and that the clear margin on each side is intact. A barcode is cheap to check and can reject an entire run at retail.
  7. White ink and underprint on clear are shown. On clear film or foil, confirm the white/underprint layer is present where it should be and knocked out where it shouldn't — a flat proof can hide this entirely.
  8. Finishes and varnish are placed. Spot gloss, matte, foil, emboss, soft-touch — confirm each sits where intended. Many finishes don't render on a standard proof and must be described or shown on a separate layer.
  9. Version and language are the right ones. One SKU, one language, one regulatory market. Approving last revision's file is one of the most common and avoidable errors.
  10. Legal and net-quantity copy is final. Net weight, required statements, and any regulated wording are the exact approved text — not a placeholder that "we'll fix later."

What a proof will never show you

Even a perfect approval leaves things a proof can't reveal — and knowing that list keeps you from over-trusting the sign-off. A flat or on-screen proof cannot show you:

  • How ink actually sits on the real substrate — texture and absorbency change density and gloss.
  • The true opacity of white ink built up on clear film, or how it looks against product behind it.
  • Dot gain and trapping behavior on press, which shift midtones and edges from what a clean file suggests.
  • The tactile reality of foil, emboss, and soft-touch — sheen and feel that only a physical sample conveys.
  • How the finished board or film actually folds, seals, and holds its shape in the hand.

None of this is a reason to distrust proofs; it's a reason to match the proof to the risk. For a routine reprint, a soft proof plus a retained sample from the last run is plenty. For a first run of a brand-defining package, ask for a physical sample or a press proof so the things a screen can't show are settled before the full quantity is committed.

Once you sign, you own it

Sign-off moves responsibility. Before you approve, an error visible on the proof is the supplier's to fix at no cost. After you approve, anything that was visible on the proof — a typo, art on the wrong panel, a dieline mismatch you could have caught — generally becomes yours, and a reprint is on your budget. That's the entire reason to slow down for five minutes and run the list above.

What does not transfer with your signature is production quality you couldn't see on the proof. If you agreed a color tolerance and the run lands outside it, that's the supplier's problem, not yours. The same goes for misregistration beyond spec, seal or lamination defects, and material flaws. Your approval covers the content and layout you could evaluate; it doesn't waive the supplier's obligation to hit the agreed spec and tolerance. Put the tolerance in writing

The single upgrade that turns a proof from a hope into a contract is agreeing, in writing and up front, what "acceptable" means. At minimum, capture:

  • The proof type you're approving — so it's clear whether you committed color or only content.
  • The color target and its tolerance — a named standard and a numeric tolerance, often expressed as a delta-E value, so "close enough" is a number and not an argument.
  • The substrate and finish — the real material, because the same file prints differently on different stocks.
  • A retained, signed sample — both sides keep a physical reference for the production run to be measured against.

Does approving a proof make me responsible for mistakes?
